Corporate Summer Event Planning … Is it a good idea?

Summer is right around the corner. My kids are getting out of school and all ready for a nice break. Unless you are a teacher or principal, you probably don’t get the entire summer off. You still have to plan meetings, conventions and other events on top of your already busy schedule. Even if the upcoming convention isn’t until the winter months, odds are the planning has already started for it. If you are planning corporate summer events booking far in advance might save you a bit of money and lock in the dates you need. Many hotels sell out during the prime summer months, so you want to make sure there will be room for your guests. Many people also take their vacations from work during the summer.

If you are having an important sales conference or other important meeting you want to schedule it during a time of the year that the most people can attend. You have to check the schedule to see if Summer is the best time to schedule the larger events or if Fall or Spring would be a better time to have it.

summer vacationAlthough you might have some employees off that aren’t able to attend a sales conference or other important event, you can’t put them off just because it’s summer. Although your children might have 2 months off it doesn’t mean your company has to push the pause button for 2 months. Most companies can’t afford to do something like that.

With the nice weather, knowing others are on vacation or for many other reasons you employee’s minds might wander more during the summer months. Be sure to do your best to keep them on track.

Open the shades and let the sunshine in. Is there a way you can set tables up outside for your employees to have lunch out in the great weather if they prefer to? Let the sun warm their bodies and minds. Let them have that little taste of the great weather and then let them get back to work.

If you have to have an event during the summer make sure you are aware of the weather conditions during that time of the the year in the place you are planning to have the event. As I mentioned in another blog post ( 5 Things You Need To Know Before Planning A Convention ), Las Vegas can be over 110 degrees most summer days and Michigan can be well below zero degrees in the winter. You also don’t want to book an event in Florida during hurricane season.

In other words, you want a backup plan when the weather isn’t going to play along. If it’s going to be an outdoor event in the summer time then get the necessary tents and coverage. But if you decide on an indoor event, which is especially helpful during the winter, take note of the environment and the atmosphere. You want it to be welcoming and exciting.

stuck in a rutHere in Michigan we were hit by a pretty bad and horribly cold Winter this year. It seemed like it would never end. Now that the weather is nice people are out and about and seem happier than they did a month or two ago when they were shoveling snow.

Use the Spring and Summer seasons to get your employees out of that sad Winter rut they were stuck in. Get them motivated and happy to get things done.

Use Spring, Summer and Fall to motivate your employees more than you usually do to get them over the Winter slump. Hopefully you live in a place that doesn’t have horrible winters or have employees that somehow enjoy that kind of weather.

corporate summer breakThere are companies that kind of slow down production during the summer. TV shows are in re-runs for a good majority of the summer because they know people aren’t home as much or if they are they are probably outside enjoying the weather.

Deciding whether summer is the best time to have a corporate event is totally up to you. Maybe a large event in the Spring and another in the Fall would keep them focused though the Summer months where they are either on vacation or having their minds wander a bit or through the depressing Winter months.

So to answer the question I started with … Is it a good idea to plan corporate events during the summer? I’d say YES. Keeping your employees informed, motivated and inspired is a must year-round.
